Logistical Resources

Course Request

This request form helps us collect information on what type of support your course will need this summer. It includes questions about field trips, equipment requests, etc., and you can even upload your syllabus! Please fill out at least TWO WEEKS prior to the start of your class.

On-site Access and Needs

Key Access

Keys will be given to instructors to gain access to classrooms and/or labs that will be used during their summer term session. Questions regarding key access should be directed to Tami O'Connor or [email protected].

Animal Care 

Please be sure to indicate in the request form that you plan on holding animals in the seawater system so we can ensure you have been through the proper training. If you have questions, please contact Cinamon Moffett.

Photo waivers 

MariAnna will coordinate a time to speak with your class on the first day of class to present waivers for students to complete.

Guin Library and Course Reserves

Julie Drengson will send out an email before classes begin to request course reserve and carrel information. Please respond to that ASAP. If you have questions, reach out to: David Irvin or Julie Drengson.

Motor Pool Vans

Instructors will be added to the shared Summer Van and Field Trip Outlook calendar to view trip and driver details. 

  • Include location, times, and drivers in the request
  • To reserve or make changes, email MariAnna at [email protected]

Motor pool authorization - Requires physical or electronic signatures

Van Safety Training - Requires online video and test. Once completed, the results will be emailed to you and the motor pool office.

Each van is equipped with emergency go-bags, including items like hand-crank flashlights, radios and protein bars. Those bags will be left in the vans for the duration of the summer. Please let us know if items need to be replaced or if you have suggestions for other items to include.

360° Virtual Tours of Coastal Field Sites

Oregon Coast Field Sites

To better showcase coastal locations for teaching and exploration, MACO is developing virtual tours of frequently used sites, ranging from intertidal zones to coastal forests. Each tour includes a 360° walk-through and a downloadable fact sheet with details on amenities, use, and accessibility.

Field Trip Requests

Yaquina Head, Outstanding Natural Area (YHONA) 

  • Hours: Trails, beaches, and restrooms are open from 8 a.m. to 5 p.m.*. The Interpretive Center, including exhibits and Interpretive Store, are open daily from 10 a.m. to 4 p.m. *They hope to return to closing at sunset sometime after May 7, granted they are able to hire enough seasonal staff. Will update as we hear more.

Transport to the Coast

Hatfield offers free daytime parking across the Newport campus—no parking permits required. Commuting by personal vehicle is an option, but here are some alternatives:

Option 1: Coast to Valley Express Shuttle (Benton/Lincoln County Public Transit System)

  • This bus runs from the central valley to Newport, with 4 daily trips and multiple pickup locations, including OSU's McNary Hall.
  • Cost: $5 each way ($10 round trip)
  • Operates: 7 days a week (except Thanksgiving, Christmas, and New Year’s Day)
  • Bikes: First-come, first-served basis with room for two single-seat bicycles per bus.
  • Purchasing Tickets:
    • Pay with exact cash when boarding (no card payments)
      • Or pre-pay via the "Token Transit" App (icon = two offset "T"s in a blue circle).
    • Create an account using your phone number.
      • Select “Lincoln County Transit.
      • Travel Zones: Corvallis (Zone 5) to Newport (Zone 1).

Travel Assistance Available - You can apply for free Coast-to-Valley Shuttle tickets through MACO.

  • Up to 20 one-way tickets per term (distributed in two 10-ticket batches).
  • Requests must be made at least 5 business days before travel.
  • Note: Tickets are for qualifying purposes (classes, field trips, events, or degree-supporting work at HMSC).

Option 2: Carpool - Use the Get There ride-share app to find fellow commuters.

  • Join the OSU-Corvallis Network to find other Beavers to carpool with.

Housing

Hatfield offers on-site housing, including one-bedroom apartments that can accommodate up to four residents. There are nightly and monthly rates, perfect if you're taking a course, conducting research, or have early morning fieldwork.

  • Housing tends to be more available in fall and winter, but it's limited in spring and summer due to increased course and internship activity.

Packing Lists

Weekend Trip (1-2 Nights)

Weekends at Hatfield are some of the best ways for students to experience the coast. Typically, students only stay for 1-2 nights, meaning their packing list is shorter. The units are smaller and house either 4 people maximum or, in the bunk house, 6-8 people, so storage can be limited. All meals (except for at least one) are provided for students and are instructor organized. See the sample grocery list section for more information.

What to Bring:

  • Packed lunch for Saturday (all other food is provided)

  • Pillow

  • Sleeping bag

  • Towel

  • Toiletries/Personal Hygiene items

  • Change of clothes   

    • Newport is more temperate and cooler than the valley.

  • Rain jacket and/or rain pants

  • Appropriate footwear:

    • Good walking shoes

    • Shoes suitable for rocky terrain or getting wet

  • Hat and sunglasses

  • Field specific gear:

    • Backpack

    • Binoculars

    • Rite-in-the-Rain notebook

  • Some snacks

  • Water bottle

  • Supplies for course activities (notebook, laptop, pens/pencils, reading materials)

  • Camera/Phone Camera

Full term (10 Weeks)

Hatfield housing provides furniture, dishware, and cooking materials (pots, pans, utensils, basic appliances etc.) so there is no need to bring any of these items. Some cleaning materials may also be provided but are limited and dependent on the unit. It is recommended that students arrive at Hatfield housing to assess the contents of each unit before deciding to bring any additional items. The units are smaller and house 4 people maximum so storage is limited. Linens such as a pillow, sheets, and a towel can be rented but are limited, so it is recommended students bring their own. Food for full-term residents is NOT provided so students will need to supply their own meals and snacks.

    • Newport is more temperate and cooler than the valley.
